Account Access and Forms-Library Policy

Effective date: August 1, 2026

This policy supplements the Rize Ink Terms of Service.

1. Library types

Rize Ink provides three customer-controlled library types:

  1. Brokerage Library.
  2. Team Library.
  3. Individual Library.

Rize Ink does not place association-owned forms into these libraries unless Rize Ink has separately obtained authorization to do so.

2. Brokerage libraries

A Brokerage Library is controlled by the legal brokerage holding the account.

Authorized brokerage administrators may:

  1. Upload forms.
  2. Create reusable templates.
  3. Add or remove users.
  4. Determine which users may access each form.
  5. Replace, archive, or disable forms.
  6. Review form usage.
  7. Retain brokerage transaction records.
  8. Restrict a form from new transactions.
  9. Require brokerage approval before a form is used.

The brokerage represents that it has permission to upload and share each library form with every user receiving access.

Access provided through a brokerage does not transfer ownership of the form to the brokerage, agent, or Rize Ink.

3. Team libraries

A Team Library is controlled by the team-account owner, subject to the authority of any supervising brokerage and applicable brokerage policies.

Team administrators may:

  1. Upload team-authorized forms.
  2. Create templates.
  3. Add or remove team members.
  4. Establish permissions.
  5. Archive and replace forms.

The team represents that:

  1. Its supervising brokerage permits the team’s use of Rize Ink.
  2. The team may upload each form.
  3. The team may share each form with the users receiving access.
  4. Required brokerage approval has been obtained.
  5. The team will not use the library to avoid brokerage supervision.

Connecting a Team Account to a Brokerage Account may give the brokerage administrator access to team documents, users, templates, and transaction records.

4. Individual libraries

An Individual Library is controlled by the individual account holder.

The individual may:

  1. Upload forms the individual is authorized to use.
  2. Prepare those forms for the individual’s transactions.
  3. Save reusable field placement.
  4. Replace and archive forms.
  5. Send forms to transaction participants.

An individual user may not:

  1. Provide library access to unrelated agents.
  2. Operate a personal account as an unauthorized team or brokerage.
  3. Resell forms.
  4. Publish forms to the general public.
  5. Circumvent association, MLS, provider, or brokerage access restrictions.

5. Required upload certification

Before a document can be activated in a library, the uploader must affirm:

I represent that I have the right to upload, reproduce, prepare, transmit, store, and, where applicable, share this document with the users who will receive access through this account. I understand that Rize Ink does not provide or license this document, does not verify that it is current or appropriate, and may disable access if authorization is disputed.

The certification must not be prechecked.

Rize Ink should record:

  1. Uploader identity.
  2. Account identity.
  3. Library type.
  4. Date and time.
  5. IP address.
  6. Document filename.
  7. Document hash.
  8. Form title.
  9. Revision date supplied by the user.
  10. Source selected by the user.
  11. Access scope.
  12. Certification-text version.

6. No cross-customer sharing

A document uploaded by one customer will not be placed into another unrelated customer’s library unless:

  1. Rize Ink has separately licensed the document.
  2. The copyright owner authorizes the distribution.
  3. The document is lawfully reusable public material.
  4. The customers are members of the same authorized organization.
  5. Another lawful basis permits the sharing.

Rize Ink may use file hashes to identify duplicate documents for security and copyright administration without treating those documents as a shared library.

7. Form version control

The customer is responsible for determining whether a form is current.

Each form-library record should display:

  1. Form title.
  2. Form number.
  3. Revision date.
  4. Upload date.
  5. Uploader.
  6. Source.
  7. Active or archived status.
  8. Replacement history.
  9. Account access scope.
  10. Copyright-dispute status.

A customer should be able to disable an outdated form for new transactions without deleting historical completed transactions.

8. Agent or team departure

When a user leaves a brokerage or team:

  1. The organization may immediately disable the user’s access.
  2. Brokerage and team forms remain with the organization.
  3. Organizational templates remain with the organization.
  4. Organizational transaction records remain accessible to the organization.
  5. The departing user may export only documents the user is legally and contractually authorized to retain.
  6. Forms obtained solely through the former organization may not be transferred unless the user has independent authorization.
  7. Rize Ink may rely on the authorized account administrator’s instructions.

Rize Ink will not resolve commission, client-ownership, independent-contractor, employment, or transaction-file disputes.

9. Account-ownership disputes

Rize Ink may temporarily restrict changes or exports when account ownership is reasonably disputed.

Rize Ink may require:

  1. Government identification.
  2. Business-formation records.
  3. Brokerage licensing information.
  4. Written authorization.
  5. Court orders.
  6. Sworn statements.
  7. Other reasonable documentation.

Rize Ink may maintain existing access arrangements while the dispute is evaluated.
